Introduction

This Privacy Policy explains how we collect, store, and use information within the Transport Manager web application (“the App”). The App is designed to help transport managers securely manage operational data such as driver details, contact information, and vehicle records.

We are committed to complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We are the data controller responsible for the personal data processed through this Web Application.

What Data We Collect

We only collect data necessary to provide our transport management features, including:

Driver records: name, licence expiry date, CPC expiry date, driver card expiry date.
Contacts: names, job titles, phone numbers, and email addresses.
Vehicle records: registration number, MOT expiry date, insurance renewal date.
Account information: your Memberstack account ID and email address used for login.

We do not collect or store copies of licences, ID documents, or other sensitive personal data.

Why We Collect This Data

We process this information to:

Provide users with the ability to manage and view their own operational records.
Maintain accurate compliance information for vehicles and drivers.
Communicate account-related updates or technical support.

Our lawful basis for processing is legitimate interest and/or performance of a contract (providing the App to registered users).

How Your Data Is Stored

All information is stored securely using GDPR-compliant third-party processors:

Memberstack – for account authentication.
Airtable – for secure data storage.
Webflow / Wized – for web application hosting and interface logic.

Each user’s data is isolated and only accessible to the account holder logged in with their Memberstack ID. Data is transmitted over HTTPS and protected by access-controlled API keys.

Data Sharing

We do not sell or share your data with any third parties for marketing. Your data may be processed by the above service providers strictly for the purpose of operating the App. Each provider has a signed Data Processing Agreement (DPA) in place.

Data Retention

Data is retained for as long as your account remains active. If you close your account or request deletion, your data will be permanently removed from our systems within 30 days.

Your Rights

Under GDPR, you have the right to:

Access the personal data we hold about you.
Request correction of inaccurate data.
Request deletion (“right to be forgotten”).
Request a copy of your data in a portable format.
Object to or restrict certain types of processing.

Data Breaches

If we ever experience a data breach likely to risk your rights and freedoms, we will:

Notify the ICO (Information Commissioner’s Office) within 72 hours
Inform all affected users as soon as possible.
